Account Coordinator

About this position 

The Account Coordinator has the overall responsibility for supporting Sales and Project Managers with daily administrative duties related to a project’s successful completion including the coordination of projects with clients and all the services required the jobs assigned.

Main Responsibilities 

  • Coordinate projects with clients, project managers and vendors.

  • Assist with sales presentations and RFP replies.

  • Manage all exhibitor paperwork for key tradeshows as discussed with client.

  • Obtain show guidelines, restrictions and regulations.

  • Outline client objectives in a design briefing request.

  • Attend Design Strategy Meeting with sales and designers.

  • Assist with services estimates and reconcile estimates post event Oversee warehouse portal, and client assets.

  • Based on dates set by the client and sales ensure exhibit designs meet objectives and accurate design and estimates are presented to clients by due dates.

  • Ensure timelines are met for design completion and estimate review.

  • Create and enter sales briefings on project management data base.

  • Participate in weekly calls with client.

  • Coordinate all show services with vendors.

  • Assist with Shipping coordination.

  • Assist with inventory reports and shipping manifests.

  • Complete and submit all show service orders by due dates outlined in show manuals.

  • Coordinate and create change orders.

  • Perform post event surveys to measure our performance.

  • Reconcile all receipts and close out budget.

  • Other administrative tasks on projects as requested.

Experience & Skills 

  • Minimum +3 years experience.

  • Account coordination skills.

  • Strong experience as administrative assistant.

  • Excellent written and verbal communication skills.

  • Excellent presentation skills Experience responding to complex RFP’s.

  • Effective multi-task/multi-client management.

  • Strong Project Management Skills.

  • Leadership.

  • Ability to work and thrive in a fast-paced, dynamic environment.

  • Strong written and verbal interpersonal communication skills.

  • Self-motivated with a strong sense of urgency.

  • Ability to assess client needs.
